PLAN YOUR REQUEST
Office furniture and equipment
List desks, chairs, cabinets and other larger items, then estimate the number of boxes. Mention equipment that needs specialist handling or cannot be moved while connected. Do not assume the moving crew will disconnect systems or prepare machinery. Agree who is responsible for preparing those items before collection.
Stock moving into or out of storage
Tell us the quantities and packaging, including pallet dimensions and weights where relevant. Check which goods the storage provider accepts and what equipment is available for loading. If you need regular access to stock, include that requirement before agreeing space. A stock collection and an office-furniture move can need different handling, so describe the goods rather than just the size of the unit.
Deliveries to offices, shops and workplaces
Include loading bay access, vehicle restrictions, reception procedures and available delivery times. A business may have a service entrance or lift that must be booked. Give the name or role of the person meeting the crew. If the job covers several addresses, set out the collection and delivery order in your description.
Documents and archived materials
You can enquire about moving boxed documents or archived materials, but check whether the proposed storage is suitable for your organisation's requirements. Confidential records may need specific access controls and handling arrangements. Describe box quantities and practical needs without putting personal records, case details or passwords into the public form.
Councils and other organisations
Council teams, charities and other organisations can use the same business request route. Add any purchase-order, invoicing or approval requirements, along with the contact arranging access. If a client or resident is involved, share only the practical information needed for the enquiry. Further details can be discussed through the agreed contact.
Agree the work before collection
Ask the quotation to identify the items, stops, handling and any packing work. Agree which contact can approve changes and what staff must prepare before collection. Check storage costs separately where relevant. If an item is needed for the business to reopen, explain the deadline at the start so the proposed timing can be reviewed before booking.
Plan what the business needs to keep using
Before collection, separate the items staying in use from those being moved. Label equipment and boxes by department or destination, and agree responsibility for disconnecting and preparing equipment. If several sites are involved, provide a collection and delivery list so each contact knows what to expect. Keep essential records and working equipment available if the business will operate during the move.
An example enquiry
Office refurbishment means desks and boxed supplies need temporary storage. Give the item list, office postcode, loading arrangements and estimated storage period. Identify the person authorised to approve the work and the later return.
Use this example as a guide to the details you can include in your own request.
